NORTHWESTERN MUTUAL LIFE INSURANCE COMPANY (NMLI)
Holding 9 major meetings a year ranging in size from 150-15,000 attendees, NMLI had an ongoing staff burden to manage registration and print badges in-house.
“We were spending hours pre-printing name badges and stuffing them into packets. Our staff was becoming overwhelmed with changes and corrections to name badges alone prior to each meeting,” says Stephanie Armbrust, Meetings Registration Coordinator for Northwestern Mutual Life Insurance.
In addition to the staff burden, Stephanie says, “We were looking to enhance the attendee experience and make the check-in process easier and faster.”
That’s when NMLI turned to Expo Logic to improve their registration process. Using Expo Logic’s innovative badge[on]demand technology and registration services, NMLI was able to print badges on-site via Expo Logic’s automated check-in service, reduce check-in wait times and relieve staff of having to print badges before every show.
“We have been able to reduce the number of contracted staff members we hire for both onsite at meetings as well as summer interns. We have also been able to avoid working late hours and weekends in the weeks leading up to our meetings, therefore a major cost savings in employee overtime pay. We no longer have the need to double check and double check again – it’s incredible! In addition, making updates after registration has closed is no longer a 3-step process,” Stephanie commented.
Stephanie and the NMLI team also expressed their satisfaction with Expo Logic’s customer service and technical support. “One of the best things that makes Expo Logic standout is their customer service. Our Account Manager, Liz Gallagher, has been amazing to work with. Her attention to detail and follow-through has really put us at ease during meeting prep. We feel extremely confident in the equipment as well. There has never been an issue onsite with any Expo Logic equipment and they have shown us tips and tricks along the way so that we feel comfortable even when Expo Logic support members are not onsite with our team. “
NMLI has also added Expo Logic’s session scanning technology to track attendance in real-time at their events and receive advanced reporting on attendee enter/exit times. “We have been able to scan onsite more quickly than in the past and the data collected is in real-time which is what our clients need.”

Each year, between 2,500 and 3,500 individuals attend the Association of American Law Schools (AALS) Annual Meeting and badges must be provided for each attendee. Prior to using Expo Logic’s badge[on]demand™ services, AALS would go through the painful process of pre-printing badges before each event and handing them out to attendees on-site.
“Our staff was working late hours and every weekend printing badges and stuffing envelopes in the weeks leading up to the event. This caused considerable stress for the staff. We had to hire assistants to print badges and alleviate the staff. There was only one quality check for each badge and so many were printed incorrectly or placed in the wrong envelope,” says Erick Brown, Database and Registration Manager at AALS.
Printing and organizing badges wasn’t the only problem AALS faced.
“Once we were on-site, people lined up and waited for up to 1.5 hours to get their conference badges. We knew we needed a different solution.”
That’s when AALS turned to Expo Logic to improve its processes. AALS employed Expo Logic’s badge[on]demand™ integration and ExpressPass™ event badge printing services. This new integration with AALS’ database allows badges to be printed on-site, automatically, as attendees check into the event. ExpressPass™ self-check-in stations are placed at the entrance to the meeting which allows attendees to serve themselves. Using the stations, attendees can either scan their registration confirmation QR code (received in email prior to the event) or select their name on the screen. After this step, their badges print immediately in just a few seconds.
The effects of this change were felt immediately at the last AALS Annual Meeting. Lines were eliminated and attendee satisfaction increased.
“It has revolutionized our process and made the entire registration process better,” Erick says. “The ripple effects of a nice registration process can be felt throughout the meeting. People start off with a positive experience and are happier and more satisfied with the meeting overall.”

NSBE needed a registration system that would integrate with their association management software IMPak Enterprise. The Christian Book Association held their annual International Christian Retail Show (ICRS) this past July in Orlando, Florida. ICRS provides attendees with "an exhibit floor with hundreds of worldwide suppliers for Christian products, and exposure to the whole industry, new concepts and trends, a global vision, cutting-edge training concepts, merchandising ideas and much more.”
Expo Logic was excited to provide online and on-site registration, ExpressPass™ check-in, and lead retrieval services to ICRS for the 2nd year. With a high volume of attendees and exhibitors, the ExpressPass™ self-check-in service made the badge printing on-site process a breeze, causing attendees to wonder why we even put stanchions up to handle the non-existent lines.

The Consumer Attorneys Association of Los Angeles’ Annual Las Vegas Convention was held September 6-9. CAALA Vegas is the “largest convention of trial attorneys in the nation. It features three and a half days of educational sessions presented by the nation’s most accomplished trial lawyers, jurists and legal consultants.” (More on CAALA Vegas can be viewed on their event website)
CAALA started using Expo Logic’s badge[on]demand product in April 2012, allowing them to manage all registrations and badge prints directly out of their AMS, netFORUM by Avectra. This was CAALA’s second show using Expo Logic’s badge[on]demand and ExpressPass™ check-in, but the first with a large number of attendees and exhibitors.
“Using the badge[on]demand™ system on Saturday was phenomenal. We had about 75 to 80 percent of our attendees bring their confirmation so they were able to scan and get their badge. We had people bring paper, cell phone, iPads, big print, little print, a little bit of everything.” Said Bill Smith of CAALA, after their first event in April. “I was really stressing out about Saturday because I knew it was sink or swim and every one of us were absolutely thrilled with how well it worked.”

We suggested our exclusive badge[on]demand™ and ExpressPass™ solutions to allow easy registration and badge printing on-site. Badge[on]demand™ allowed on-site registrations to be entered directly into their familiar AMS, avoiding having to train their staff on new software. It also permitted for quick badge edits, allowing ARVO to make any necessary edits directly in their AMS. ExpressPass™ ensured that pre-registered attendees could print their badge on-site too. A barcoded confirmation was sent to attendees, which was scanned at the ExpressPass™ kiosk. Confirmations were easily scanned from a printed paper or directly on a mobile device. If the confirmation email could not be located, any attendee could still find their registration in the system and print their badge through the ExpressPass™ simple search tool.
Using ExpressPass™, ARVO was able to process 1,200 registrants per hour. The line for badge printing for over 12,000 attendees was constantly moving, so no one was held up for a long period of time. AVRO was able to process registrations and badge prints onsite quickly and efficiently which set a great tone for the entire event.
