ACTRIMS’ Registration Vastly Improves in 2017

Emily Viles was determined that her client’s 2017 event would be different.  No more long lines at registration, no more disgruntled attendees, and no more overwhelmed staff. 

Her resolve was solidified by the 2016 Americas Committee for Treatment and Research in Multiple Sclerosis (ACTRIMS) Forum, which had a challenging start.  “In 2016, attendees waited in long lines to pick up badges and register onsite. We did not have self-check in stations or self- registration staff, meaning that when we received 100 onsite registrations, we were swamped,” explained Viles, Program Coordinator, AMPED Association Management and Meetings Technology Coordinator and Website Design for ACTRIMS.

So when planning time came for the organization’s 2017 event, Viles knew she needed to make a change for registration and badge printing. That’s when Viles turned to Expo Logic.  “Our team really depended on the advice and expertise of the Expo Logic staff during the planning process” said Viles. 

During the planning phase, the team discovered an API limit within ACTRIMS’ account management system that was preventing a seamless integration.  “Both Dave Bradfield and BranDee Waters at Expo Logic were extremely helpful and we were expertly guided on how to best handle the situation,” said Viles. 

Clear communication during planning and implementation helped keep everyone on track, which is so important when producing an event.  “ACTRIMS Staff were impressed with the project management and accessibility to our point people at Expo Logic.”

As result, ACTRIMS’ 2017 Forum was much different.  “This year, when our biggest rush came, the lines were only ever 2 people long. The wait to print their badges and collect their registration materials was extremely minimal and attendees noticed - in a good way,” commented Viles.

A key part to the success of any meeting organizer/vendor relationship is communication and support.   “Dave Bradfield was available whenever we needed him and actually made the effort to come meet us in Orlando since we were a new client and also had some issues with data integration,” Viles  said.  “BranDee Waters is extremely efficient and responsive. She did an excellent job training the ACTRIMS staff onsite and you could tell that she considered herself as an extension of the ACTRIMS Staff.”

The benefits of using Expo Logic transformed ACTRIMS’ annual Forum.  “The biggest benefit of using Expo Logic was freeing up ACTRIMS staff from organizing and handing out badges onsite, and allowing them to quickly assist delegates who wanted to register on-site, who had misspelled names and open invoices.”

The transformation did not go unnoticed. “The onsite registration process was rated very well on our post-conference survey and worked seamlessly. We now want to use this for all of our clients,” said Viles
